Maintenance & repairs
Maintenance coordination and emergency response
Tenants report issues in writing through one channel, every request is triaged the day it arrives, and work under an agreed threshold proceeds without waiting on you. Above that threshold you approve the spend first — with the quote in front of you.
Why everything goes through one written channel
A maintenance issue reported in a phone call and not written down does not exist as far as anyone can later demonstrate. That matters twice over: an owner cannot see what is actually happening at their property, and if a dispute arises about whether something was reported and how quickly it was addressed, the record is the whole argument.
One channel, in writing, timestamped. Tenants get an acknowledgement that their request was received, which by itself removes most of the follow-up calls.
The spending threshold, and why it exists
Below an agreed figure, routine work proceeds and appears on the statement. Above it, you see the quote and decide. The threshold exists because approval-for-everything sounds prudent and is in practice expensive: a running toilet that waits four days for a reply is four days of water, an annoyed tenant, and an emergency call-out rate by the time it is finally addressed.
The figure is yours to set. Most owners land somewhere that covers ordinary repairs without covering anything they would want a say in.
What counts as an emergency
No heat in winter, no water, an active leak, a sewage backup, a failure that makes the unit unsafe or insecure, anything involving gas or a suspected electrical fault. Those get an immediate response at whatever hour they arrive.
Massachusetts sets minimum habitability standards under the state sanitary code, including heating requirements during the cold months, and an owner’s obligation there is not negotiable or deferrable. Treating a heat failure in January as routine is both a compliance problem and the fastest way to lose a good tenant.
